Leidos Europe, part of Team Leidos, are looking for an experienced Document Controller to join their PMO team at the Head Office in Bristol.

Team Leidos is honoured to support the UK MOD’s Logistic Commodities & Services Transformation (LCS[T]) programme, a critical effort to enhance and improve the UK’s defence supply chain.




The role holder will ensure Document Management consistency across all Leidos Europe Projects, rigorously maintaining control and traceability of appropriate documentation from Project initiation throughout completion.
Act as a champion for good configuration management, engage the wider business I developing a single approach to document control that is robust, simple and easy to engage with.
Support the administration of the Change Control Board, reporting to the Senior PMO Manager to ensure that all collateral is delivered in a timely manner, in a standard way and to the highest quality.
Act as secretary for contractual governance boards as required ensuring that contractual artifacts are delivered on time and in full.
Main Duties and Responsibilities:
  • Implement and maintain document control processes and procedures
  • Develop and maintain the Document Management System
  • Manage all work flows of documents either in electronic form or on paper support
  • Maintain and manage electronic and hard copy documents as required
  • Process incoming documentation (registration in the DMS, internal distribution, archiving)
  • Process outgoing documentation (transmit to Client and Suppliers/3rd parties)
  • Makes sure that controlled copies of latest approved documents are distributed internally and externally (Clients and Suppliers)
  • General document control activities such as photocopying, scanning, analysis of suppliers
  • documents compliance with Project standards regarding numbering and all others aspect
  • related to document quality
  • Assistance in the preparation collation and issue of reports and registers as may be required
  • Communicate and liaise with Project Teams, Suppliers/3rd parties to agree standards,
  • systems, efficient flow of documentation, handover and close-out of Project activity to
  • ensure consistency in document control as required
  • Monitor documents review and approval in accordance with agreed schedule
  • Monitoring of documentation progress in cooperation with the PMO project planner
  • Produce internal and external (Clients and Suppliers) over-due reports
  • Set-up Projects folders and facilitate Project communication process
  • Establish and maintain the Master Document Register in cooperation with the Project team
  • Collate, produce and submit QA Documentation for Clients

  • Ensure Document Management accordingly to established procedures or standards (documents numbering, formats, issuance, review, dispatch, recording and archiving)
  • Ensure control and coordination of projects documentation and data
  • Ensure all documentation is correctly identified, distributed and filed/stored
  • Ensuring the use of standardised forms and templates

Must be able to obtain a UK SC Clearance

Minimum Qualification/Education Level:
  • Experience in ensuring document control in a commercial environment
  • Prince2, APMP, PMI or equivalent
  • Experience of operating effectively within a matrixed organisation
  • Experience in Lean Six Sigma methods (preferred)
