Description:

PROGRAM DESCRIPTION

The Clinical Services Program's primary mission is to perform sequential studies using samples obtained from patients with cancer, AIDS, chronic granulomatous disease or other diseases associated with immunologic dysfunction, as well as to monitor viral load in patients with HIV.

KEY ROLES/RESPONSIBILITIES

The Secretary I will:

  • Provide daily secretarial support to of the Clinical Services Program
  • Place blanket orders directly with vendors, enter purchase requests into DELTEK (internal purchasing system), and place credit card orders by telephone and/or Internet
  • Confirm and communicate all order confirmations/statuses with the scientific and administrative staff
  • Complete reoccurring credit card reconciliation process
  • Monitoring and closing out all open purchase orders
  • Maintain journal subscriptions and memberships for the Clinical Services program
  • Establish and complete program forms, files, and documents in an organized manner
  • Sort and distribute mail, receive and refer calls and electronic communications appropriately
  • Complete travel arrangements


Qualifications:

BASIC QUALIFICATIONS

To be considered for this position, you must minimally meet the knowledge, skills, and abilities listed below:

  • Possession of a high school diploma or equivalent
  • Foreign degrees must be evaluated for U.S. equivalency
  • A minimum of one (1) year clerical/secretarial experience
  • Experience with Windows, MS Office including Word/Excel/Access
  • Knowledge of the use of proper English/grammar/spelling/punctuation
  • Maintaining files and active records
  • Must be able to obtain and maintain a security clearance

PREFERRED QUALIFICATIONS

Candidates with these desired skills will be given preferential consideration:

  • Deltek, SharePoint and database experience

Expected Competencies:

  • Ability to deal tactfully with the public
  • Communicate office problems tactfully
  • Coordinate office activities with other administrative team members
